Using e-Mandates

This guide provides a straightforward process for schools to set up e-Mandate instructions for payment collections, ensuring a seamless and secure way to authorise direct debits from their bank accounts. Viewing this guide will empower schools to handle parent payments digitally, saving time and reducing paperwork.

1. What e-Mandates are

e-Mandates are a digital way for a school to authorise payments directly from the payee's bank. The following guide explains all you need to know to successfully set-up e-Mandates. e-Mandates are not automatically enabled — please reach out using the Activate Feature against the eMandates view in the Dashboard.

Tip If your e-Mandates option is enabled, you will need to reach out to your account manager or email [email protected] in order to enable the SUN and account used for e-Mandates.

Click on the Settings option to view the e-Mandate link.

TipIf you are unsure or not AUDDIS compliant, then you will need to reach out to your bank in order to enable this.
Alerte-Mandates is only available for AUDDIS compliant SUNs.

3. The eMandates menu

The eMandates menu is located on the admin users Settings only.

Against each Account information will show if the account is AUDDIS compliant or not and if eMandates is enabled. Once enabled the link can be seen against the account. This link will need to be sent to everyone that needs to set-up the e-Mandate instruction.

You can also access the eMandates using the blue View eMandates list button.

4. What the payee sees

When the payee opens the link, they will be presented with a Setup Electronic Mandates page. They will be asked for their email and account details before submitting.

5. Confirming and authorising

Once the form has been filled in, including pupil details, they confirm the details are correct and authorise payments to be collected.

6. Validation

After submitting the form by selecting the Create Instruction button, the account details are validated. Account name, number and sort code are checked and cannot be submitted if invalid or incorrect.

7. After submitting

After submitting, an e-Mandate can be seen in the portal under the eMandates menu. The bureau and bank will also receive the e-Mandate instruction, so the school does not have to send anything else over. The school will still have to manually create the mandate in their MIS, in order to collect a direct debit payment against it.

AlertEnsure the mandate reference used in your collection matches the mandate reference in the eMandates list, as this is the reference the BACS service will have on record.

8. Collecting the payment

After creating the eMandate and direct debit payment file, simply upload the DD collection using the Direct Debit menu. A QRG of the next steps can be found here.
