Common Gotchas

Make sure the 'Payment date' is correct when putting a payment file through.

This commonly leads to missed deadlines, staff not being paid on time or parents having money taken out of their account on the wrong date. It also leads to the payment file needing to be recalled by either the school, esenda or the bank (which can incur extra charges).

Totals of expected money from a batch payment.

Usually payments paid into the bank from Direct debits will always match what was sent through the portal. However, some mandate instructions can be cancelled after the direct debit payment file has gone through and fails to be collected. This can result in a shortfall of what was expected and easy to review. Go to the Transaction menu and search for any failed payments. If you have the reports enabled on the account, then esenda will receive the BACS report and can be reviewed as to why it failed. You can also download the payment instructions into a csv file to help troubleshoot.

Failed collection of payments.

Using the bank transfer option to make a payment requires a payer to manually enter the details of the payment from the screen. Pressing the 'Made a payment' button, without manually making a payment, will not automatically send the money to the school.

Admin permissions.

Credit card payments can be controlled by the school.

Using Settings, credit cards cannot be disabled as a payment option. But, payment limits can be added to limit the maximum payment amount using a credit card.
